A clear picture of when the reminder goes out, to whom, and why it may simply not be going out at your school.
The rule
At 08:00, the system warns every student with an instalment due in three days.
The email arrives with the subject Reminder: instalment due in 3 day(s), with the school's name.
It is the best-performing email of all: it arrives while there is still time to pay, and the subject states the urgency without needing to be opened.
Three days, and only three
The lead time is fixed at three days. There is no field in Settings to change it.
Do not confuse it with Days before due date to issue, on the Billing tab: that one controls when the charge is issued; this is the reminder, and it is a different number — one you do not choose.
At a school issuing 5 days ahead, the sequence is: charge issued 5 days before, reminder 3 days before, arrears notice 1 day after.
The two conditions that silence the reminder
1. The school must have the receiving service connected. The routine begins by looking for schools with a receiving connection configured; those without are skipped entirely — even though the reminder is just an email and would not need it.
In practice: a school still registering payments by hand sends no reminders at all, and nothing on screen says so. Logged for correction.
2. The student must have an email. With none on the record there is no access account and nowhere to send it.
What it does not do
- It does not warn twice. One reminder per instalment, three days ahead. No daily countdown.
- It does not warn about already-overdue instalments. That is the other routine.
- It does not warn about paid, waived or cancelled instalments.
How to check it is working
Take a student with an instalment due in exactly three days and confirm the next day whether they received it. If not, test the two conditions above in that order — the first accounts for most cases.
If something goes wrong
No student receives reminders. Almost always the first condition: the school has not connected the receiving service yet.
Only some receive them. Those are the ones with an email on file. Check who is missing one.
The school wanted a week's notice. Not configurable today. What you can adjust is the charge issuing lead time, on the Billing tab.
