# When to release the lessons on the learning platform

> Choose whether the student sees the lessons at enrolment or only after signing the contract, paying or the cohort starting — and keep track of who is still waiting.

## What you will get

Decide at what moment the student starts seeing the lessons on the cohort's
learning platform — and know, for each enrolment, whether the lessons have
opened or what is still missing.

**The short answer:** by default, the lessons open at enrolment. If the school
prefers, they open on their own once the student meets the conditions you tick:
contract signed, first payment, cohort start date.

This only applies to the lessons on the platform. **The student portal does not
change**: the student logs in, sees the enrolment, signs and pays just the same.

## Before you start

- **A learning platform connected** under **Integrations › LMS Platforms**.
Today only Moodle has an integration; LMS Estúdio shows as coming soon. With
no platform connected, the **When to release the lessons** section does not
  even appear.
- **The cohort linked to the platform**, with the **Moodle cohort ID** filled
in. The article on cohorts and the class environment explains that link.
- Choosing the school rule is for whoever runs the account.

## The school rule

Under **Integrations › LMS Platforms**, the **When to release the lessons**
section has two options:

| Option | What happens |
|---|---|
| **At enrollment** | The default, and how it has always worked: the school enrols and the student already sees the lessons on the cohort's platform |
| **When the student meets the conditions below** | The lessons wait until every ticked condition is met |

If you choose the second one, tick the conditions:

- **Contract signed** — only counts when the enrolment has a contract to sign.
An enrolment with no contract does not wait for it.
- **First payment confirmed** — the payment through the receiving service or a
payment recorded with **Mark as Paid**. A course with nothing to pay does not
  wait.
- **From the cohort start date** — the date is the cohort's **Start date**
field. A cohort with no start date holds nobody back.

**Every ticked condition must be met.** The system checks every day at 06:00
and also when the contract is signed or a payment arrives — nobody needs to
press anything.

The **Email the student when the lessons are released** checkbox sends the
student the **Your lessons on Moodle have started** email, with the school's
name in the subject. It only goes out after the platform confirms the release,
so the student never gets the notice before being able to get in.

Click **Save**.

Two things do not change with the rule:

- **Students whose lessons are already released keep their access.** The rule
applies to the next releases; it takes nobody off the platform.
- **Purchases through the sales page still wait for the first payment**,
  whatever the rule.

## One cohort that works differently

When only one cohort needs a different criterion, use the **Release the lessons
of this cohort** field on the cohort form (when creating it or under **Edit**).
It only appears with a platform connected.

| Option | What it does |
|---|---|
| **Follow the school rule** | The default. Whatever is set under **Integrations › LMS Platforms** applies |
| **At enrollment** | Opens at enrolment, even if the school waits for conditions |
| **Contract signed** | Opens when the student signs |
| **Contract signed + start date** | Opens once the student has signed and the cohort has started |

The start date is the same **Start date** field the cohort already had.

## Step by step: only after signing and once the cohort starts

The most common case: the school wants to set everything up in advance, but the
student only gets into the lessons after signing the contract, and not before
the first day of class.

1. **Choose the rule.** Under **Integrations › LMS Platforms › When to release
the lessons**, select **When the student meets the conditions below**, then
**Contract signed** and **From the cohort start date**. Leave the email
notice ticked and click **Save**. If only one cohort works this way, choose
**Contract signed + start date** in that cohort's **Release the lessons of
   this cohort** field instead.
2. **Check the cohort.** The **Start date** field must be filled in — it marks
   the day the lessons open.
3. **Register the student without sending the email.** On the record, untick
**Send the access email to the student**. The login account is created just
   the same.
4. **Enrol the student in that cohort**, with the contract template. They
receive the **Your contract is ready to sign** email. On the platform,
nothing opens yet: the enrolment's **Access to the lessons** panel shows
**Waiting** and both conditions still open.
5. **Send the portal access.** On the student list, filter **Portal access** by
**Not logged in yet**, tick the students and click **Send portal access**.
Each one receives the login and a new temporary password. This does **not**
   release the lessons.
6. **The student logs in to the portal and signs.** At signing, the system
checks again. If the cohort has not started yet, only the date is missing:
the enrolment now shows **The lessons open automatically on Moodle on** (the
start date) **at 06:00**, and the portal shows the student **Your lessons on
Moodle open on** (the same date).
7. **On the start date, at 06:00, the lessons open.** The student joins the
cohort on Moodle and, as soon as the platform confirms, receives **Your
   lessons on Moodle have started**.

If the student signs after the cohort has already started, the lessons open at
signing.

## Tracking from the cohort screen

On the screen of a cohort linked to the platform, the **Lessons on Moodle**
panel shows four numbers, counting the enrolments that were not cancelled:

| Number | What it counts |
|---|---|
| **Lessons released** | Students already in the lessons |
| **Waiting for release** | Students still waiting — for a condition, a failure or a switched-off platform |
| **Contract not signed** | Enrolments whose contract has not been signed yet |
| **Have not logged in to the portal yet** | Students who never logged in to the portal — the first suspect for an unsigned contract |

## Tracking from the enrolment screen

When the cohort has a platform, the enrolment gets the **Access to the
lessons** panel, with the platform name and the status:

| Status | What it means |
|---|---|
| **Waiting** | Some condition is not met yet. Each condition shows whether it is met or not |
| **Lessons released** | The student is already in the lessons. The panel says when, and whether it was the rule or someone at the school |
| **Waiting — platform disconnected** | The integration is switched off. The lessons open when it is turned back on |
| **Release failed** | The platform refused. Check the integration and use **Try again** |

When only the start date is missing, the panel already gives the day: **The
lessons open automatically on Moodle on** (the date) **at 06:00**.

**Release now** opens the lessons without waiting for the conditions. It is for
special cases — a student who needs to get in early, for example — and who
released it is recorded. If the email notice is ticked, the student gets the
email just the same.

While the lessons wait, the **Moodle sync** field, in the enrolment's data
panel, shows **Waiting for release**. What is missing is in the **Access to the
lessons** panel.

The **Re-sync Moodle** button does not get around the rule. On an enrolment that
is still waiting, it refuses with the notice **This enrollment is still waiting
for the lesson release rule. To open it earlier, use "Release now" in the Access
to the lessons box.** To open early, the way is always **Release now**.

## What the student sees on the portal

While the school uses the condition rule and the lessons have not opened yet,
the enrolment card on the portal says:

- **Your lessons on Moodle open on** (the date), when the only thing left is the
  cohort starting; or
- **Your lessons on Moodle open after:** followed by what is missing — for
  example, **signing the contract**.

Right below: **You will get an email when they open.** Under the **At
enrollment** rule, this notice does not appear.

## If the platform is disconnected

If the integration is switched off with students waiting, nothing is lost:

- The enrolment shows **Waiting — platform disconnected**.
- The **Integrations › LMS Platforms** page shows a notice with how many
  enrolments are waiting.
- When the integration is turned back on, the 06:00 daily routine releases
everyone who has already met the conditions.

## How you know it worked

> [certo]
> In the enrolment's **Access to the lessons** panel, the status turns into
> **Lessons released**, with the date. On the cohort screen, the **Lessons
> released** number goes up. And, with the email notice ticked, the student
> receives **Your lessons on Moodle have started**.

## If something goes wrong

> [erro]
> **The When to release the lessons section does not appear.** No platform is
> connected. Connect Moodle under **Integrations › LMS Platforms** first.
>
> **The enrolment has no Access to the lessons panel.** The cohort is not
> linked to the platform: its **Moodle cohort ID** is missing — or the
> enrolment has no cohort.
>
> **The student signed and the lessons did not open.** Look at the conditions
> in the panel. If the start date is missing, they open on their own on that
> day, at 06:00. If the first payment is missing, they open once it is
> confirmed.
>
> **The enrolment came from the sales page and is still waiting, even under the
> At enrollment rule.** That is expected: a sales page purchase always waits
> for the first payment.
>
> **You sent the portal access and the student still does not see the
> lessons.** Sending the access does not touch the lessons — they follow the
> rule.
>
> **Release failed.** The platform refused the request. Check the integration
> under **Integrations › LMS Platforms** and use **Try again** on the
> enrolment.
