# What the system does on its own every day

> The four automatic routines, the hour each one runs and what they change without anyone asking.

## What you will get

The ability to recognise what the system did on its own — and to stop looking for
who touched it.

## The four routines

| Hour | Routine | What it does |

| **01:00** | Overdue marking | Every open instalment due before today becomes **Overdue** |
| **01:30** | Contract expiry | A pending contract past its deadline becomes **Expired** |
| **06:00** | Charge issuing | Issues the boleto or PIX for instalments approaching their date |
| **08:00** | Due-date reminders | Tells the student about an instalment due in 3 days |

**The hours are in your school's timezone**, set under **Settings › General**. A
school with the wrong timezone sees everything happen at the wrong time.

## What each one changes on screen

**01:00 — overdue.** The instalment's label becomes **Overdue**, the student gets
an arrears notice and the owner gets the daily report. It is the routine that
produces the most morning questions.

**01:30 — contracts.** A contract unsigned within its deadline becomes **Expired**
and can no longer be signed. **If automatic cancellation is switched on** in the
Contracts tab, the enrolment is cancelled with it and the student receives the
notice.

**06:00 — charges.** Issues charges with the lead time configured in the Billing
tab. It is the only one of the four that depends on the receiving service being
connected.

**08:00 — reminders.** Sends the approaching-due-date notice.

## The order matters

Marking overdue at 01:00 and issuing at 06:00 on the same night is no accident:
by the time issuing runs, instalment statuses are already up to date.

## What they never do

- **They never cancel an enrolment on their own**, except through contract expiry
  with automatic cancellation switched on.
- **They never charge anyone twice.** An instalment that already has a charge is
  skipped.
- **They never touch a paid, waived or cancelled instalment.**

## When a routine "did not run"

Before concluding that, check the simplest things:

**1. Does the case fit the rule?** The overdue routine only picks up **open**
instalments. One already marked yesterday is not marked again.

**2. Has the hour passed in the school's timezone?**

**3. Does the student have an email?** The routine makes the change regardless;
what does not go out is the notice.

## If something goes wrong

> **An instalment went overdue and the student had already paid.** The payment was
> registered after 01:00. Registering it fixes the status; the notice has already
> gone.
>
> **An enrolment was cancelled overnight and nobody cancelled it.** That is the
> contract routine with automatic cancellation on. Check the **Contracts** tab.
>
> **Nothing happened at the expected time.** Start with the timezone under
> **Settings › General** — it is the most common cause of "the routine ran at the
> wrong time".
