# Import students — step 2: map the columns

> Tell the system what each column of your spreadsheet is, check the preview, and import.

## What you will get

The import finished. On this screen you check what the system read from your
spreadsheet and say which column is the name, which is the ID, which is the
email.

Nothing has been saved yet. Until you click **Import students**, you can still
back out.

## First, check the reading

The top of the screen shows three things in order: how many rows were found, two
tags with what the system recognised, and a sample of the file.

*If the table comes out in neat columns like this, the reading is good. If everything lands in a single column, the separator was read wrong — go back and pick it by hand.*

The **File preview** shows up to five rows. This is the moment to look closely:
a broken accent, a swapped column or a scrambled date all show up here, before
they become records.

## Then point each field at a column

The **Column mapping** block has one box per field of the student record. In
each, pick the column of your spreadsheet that matches it.

*The system pre-fills what it recognises from the column titles. Check it rather than trusting blindly: **CEP** and **Logradouro** stayed on **Ignorar campo** because the spreadsheet had no such columns.*

**The system guesses first.** It reads each column title and looks for familiar
words — *name*, *cpf*, *email*, *phone*, *birth*, *city*, *state* and the like.
When it hits, the box comes pre-filled.

**The red star marks what is required.** Always the full name, plus whatever
your school demands: the email, the ID, or both.

**Ignore field is a valid answer.** Every field your spreadsheet does not have
stays that way, and the record is created without it.

## The last adjustment before importing

The cohort and the email box appear again here, holding what you chose on the
previous step. You can change your mind — what counts is what is ticked on this
screen.

Click **Import students**.

## How you know it worked

> [certo]
> The screen returns to the student list with a green banner telling you the
> result: **Import completed. New students: 3. Existing records preserved: 0.
> Added to selected cohort: 3.**

![Green banner with the import summary: new students, existing records preserved and added to the cohort](/Apps/edupay/ajuda/importar-resumo.png)
*The three numbers tell different stories. **Existing records preserved** is who the system recognised and did not duplicate.*

**Importing the same file twice does not duplicate anyone.** On the second run
all three land under **Existing records preserved**. The system recognises a
student by the login identifier, by the email, or by the document.

## If something goes wrong

> [erro]
> **A red box appeared with errors listed by row.** No student was imported — it
> is all or nothing. The article on import errors, right next to this one,
> explains each message.
>
> **The preview puts everything in one column.** The separator was read wrong.
> Click **Choose another file** and pick the delimiter by hand.
>
> **The first sample row is a real student, not the titles.** The header was
> detected wrong. Go back and set **Header: No**.
>
> **You closed the screen halfway through.** The uploaded file is not kept
> forever. If the address no longer opens, start again from step 1 — nothing was
> saved.
